1. Who we are

TripPlanInsider.com is run by SVC Capital Ltd, a company registered in England and Wales (company number 16959364), registered office 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. We are the controller of the personal data described here.

2. What we collect and why

Your trip details

When you plan a trip we collect what you enter in the form: where and when you’re going, how many adults and children are travelling, your pace and interests, and anything you tell us about fitness, step-free access, dietary needs or other requests. We use this only to build and show your plan, and to improve how plans are made.

We don’t ask for your name or email to plan a trip. Please don’t include personal details, such as names or medical information, in the free-text request box; a short description like “step-free access” is all we need.

Your plan is saved so you can come back to it and swap parts of it. Anyone you share the plan’s link with can see it.

Legal basis: our legitimate interest in providing the planner you asked to use. Where you tell us about access or dietary needs, we use that only because you chose to give it to us to shape your plan (your explicit consent), and you can leave it out.

Newsletter and deal alerts

If you sign up for our deals emails we keep your first name, email address, the airports you chose, the page you signed up on and when you agreed. If you tick “Personalise my deals”, we also keep the answers you give: the kinds of trips you like, whether you travel in school holidays, who you usually travel with, the regions, interests and dream destinations you pick, and how often you want to hear from us.

We use these only to choose which deals and trip ideas to send you and to address you by name. Our emails record whether they are opened and which links are clicked, so we can see which deals are useful and send better ones.

Our sign-up form keeps a copy of what you submit on our website, and our email service provider stores your details and sends the emails. You can change your airports or preferences, or unsubscribe, using the links in every email.

When you contact us

If you email us, we keep your message and email address so we can reply and deal with what you asked.

When you report a problem

If you use our “Report a problem” form, we keep what you tell us (the type of problem, your description and any plan link you include) so we can fix it. We don’t ask for your name or email. To stop the form being flooded, we also keep a scrambled code made from your IP address, which can’t be turned back into the address and changes every day; we delete it after 90 days.

Your approximate location

To show flight deals from the airport nearest you, our server reads an approximate location (roughly your town or city) from your internet connection when the page loads. We use it only to pick the nearest airport and don’t store it. If you choose a different airport, your choice is saved in your own browser (see our cookie policy).

Technical information

Like most websites, our hosting providers keep standard server logs (such as IP address, browser type and pages requested) for security and to keep the site running.

3. When you click through to a provider

Links in your plan and on our pages take you to other companies’ websites, such as booking sites, tour sellers, rail and car hire companies, insurers and flight search. Those companies may use cookies to record that you came from us, so we can be paid a commission if you book. We don’t receive your booking or payment details. Anything you give a provider is handled under their own privacy policy.

4. Who we share data with

We never sell your personal data. We use trusted service providers to run the site, who process data only on our instructions:

• Hosting and email: the companies that host our website, servers and email
• Database: where trip plans and problem reports are stored
• AI services: help write parts of your plan from your trip details
• Maps, places and photos: place information, fonts and destination photos
• Travel partners’ tools: the flight search on flights.tripplaninsider.com and the map of places to stay in your plan, which set their own cookies
• Email service provider: stores our email list and sends our newsletters and deal alerts

We may also share information if the law requires it.

5. International transfers

Some of these providers store or process data outside the UK, for example in the European Union or the United States. Where they do, we rely on the safeguards UK law requires, such as UK adequacy regulations or the International Data Transfer Addendum to standard contractual clauses.

6. How long we keep it

• Trip plans: for as long as the site runs, so your link keeps working. Ask us and we’ll delete yours.
• Newsletter sign-ups and preferences: until you unsubscribe. We then keep a record that you unsubscribed, so we don’t email you again, and delete the rest.
• Emails you send us: up to two years after we last hear from you.
• Problem reports: until the problem is dealt with, and no longer than two years; the scrambled IP code is deleted after 90 days.
• Server logs: in line with our hosting providers’ standard retention.

7. Your rights

Under UK data protection law you have the right to ask for a copy of your personal data, to have it corrected or deleted, to restrict or object to how we use it, to have it moved to another service, and to withdraw consent at any time. Email privacy@tripplaninsider.com and we’ll reply within one month.

If you’re unhappy with how we’ve handled your data, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk.

8. Children

Our site is for adults planning travel. Our emails are not for anyone under 16.

9. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
